Meetings, votes and minutes for small HOA boards

Meetings, votes and minutes for small HOA boards is a SaaS idea for volunteer boards of small HOAs, condo associations and residents’ associations, priced to test at $39 a month per association. Board business runs on reply-all email chains and paper ballots collected door to door. With it, volunteer HOA boards share agendas, collect owner votes online and publish minutes, so every decision has a clear record.

. A starting point we wrote, not market research: run the 7-day test before you build.

What problem does it solve?

Board business runs on reply-all email chains and paper ballots collected door to door. When owners question a decision, nobody can find the vote count or the minutes that approved it.

Why now: Owners expect to take part from their phone, and boards struggle to reach quorum at meetings in person.

What do they use today?

Most boards use a group email list and a show of hands at the meeting. Minutes are saved as documents on the secretary’s own computer, so the next secretary starts with a folder of loose files.

How does it work?

The board secretary invites each unit’s owner by email, then shares the agenda and papers ahead of the meeting. When a motion needs deciding, the secretary opens an online vote and each unit casts one vote. The minutes are published with the votes attached, and the archive can be searched whenever someone questions a decision.

What goes in the first version?

  • Owner list by unit, invited by email
  • Agendas and documents shared before each meeting
  • Online votes with one vote per unit
  • Minutes published with the votes attached
  • Searchable archive of past decisions

Who pays, and how much?

Who pays
Volunteer boards of small HOAs, condo associations and residents’ associations
Price to test
$39 a month per association

Board members come and go, so a price per association, not per seat, never changes when the board does. It is also a single monthly line that a volunteer board can approve.

How to test it in 7 days

  1. 1Ask five HOA board members how they run votes today and what owners complain about.
  2. 2Read your state or country’s rules on association votes to see what online voting must record.
  3. 3Run one board’s next small decision as an online vote and count how many owners take part.

Where to find the first customers

  • HOA board member groups on Facebook
  • HOA and condo owner subreddits
  • Self-employed community association managers who serve several boards

What are the risks?

  • Voting rules differ by state and country, so votes must follow each association’s rules.
  • Board members change often, so handing over the account must be simple.

You are in a fresh copy of the shipanysaas starter kit, a pnpm and Turborepo monorepo: the Next.js web app is in apps/web and the Supabase database, with its migrations, in apps/web/supabase. Help me build the first version of Meetings, votes and minutes for small HOA boards.

Read AGENTS.md first, then the AGENTS.md in every folder you work in: the kit's rules there win over your defaults. When a skill in .agents/skills (also in .claude/skills and .cursor/skills) matches a task, use it.

## The product
- What it does: Volunteer HOA boards share agendas, collect owner votes online and publish minutes, so every decision has a clear record.
- Who pays: Volunteer boards of small HOAs, condo associations and residents’ associations
- Their problem: Board business runs on reply-all email chains and paper ballots collected door to door. When owners question a decision, nobody can find the vote count or the minutes that approved it.
- Price to test: $39 a month per association (a plan in apps/web/config/billing.config.ts)

## Build only this first version
1. Owner list by unit, invited by email
2. Agendas and documents shared before each meeting
3. Online votes with one vote per unit
4. Minutes published with the votes attached
5. Searchable archive of past decisions

## Already in the kit: reuse it, never rebuild it
- Sign-in: email and password or Google, plus magic links and passkeys you can switch on
- Teams and roles: team accounts with members, roles and invitations
- Billing: Stripe or Lemon Squeezy subscriptions, per seat or usage-based, and one-off payments
- Emails: transactional email through Resend or Nodemailer
- In-app notifications: a notifications bell in the web app

## New code it needs
- Unit-based owner list and invites
- Online votes with one vote per unit
- Minutes and decision archive

## How to work
1. Plan first: list the database tables (with row-level security, so each team only sees its own rows), the pages and the server actions for the first feature. Then stop and wait for my OK.
2. Build one feature at a time with the kit's own UI and form components, with a migration for every schema change and user-facing text in the translation files.
3. After each feature, run the verification steps in AGENTS.md, fix what they find, and tell me what you built and what comes next.

## Rules
- Ask me before you add a dependency, delete a file, or change sign-in, billing or the admin panel.
- Leave the parts of the kit this product doesn't use as they are.

Done when every first-version feature works for a signed-in team and the AGENTS.md checks pass.
