Virtual office mail handling for coworking spaces

Virtual office mail handling for coworking spaces is a SaaS idea for independent coworking spaces and business centres that sell virtual office plans, priced to test at $59 a month per location. Post for virtual office clients piles up in trays at reception, and staff email each member by hand. With it, coworking staff log each letter and parcel with a photo, and members choose what happens next: scan, forward, collect or shred.

. A starting point we wrote, not market research: run the 7-day test before you build.

What problem does it solve?

Post for virtual office clients piles up in trays at reception, and staff email each member by hand. Letters get missed, forwarding costs go unbilled, and nobody can prove when something arrived.

Why now: Remote teams still need a business address, and they expect to see their post online instead of waiting for a call.

What do they use today?

Most spaces sort post into pigeonholes or a box behind reception and message members one at a time. Requests to forward or shred come in by email, and charges are added to invoices from memory.

How does it work?

When post arrives, a receptionist photographs each envelope and logs it against the member. The member gets an email and an in-app alert, opens the photo, and picks scan, forward, collect or shred. Each request lands on the reception task list, and once staff deal with it, the item and any charge are recorded on that member’s history.

What goes in the first version?

  • Log each item with a photo of the envelope
  • An email and in-app alert to the member
  • Members pick scan, forward, collect or shred
  • A task list of member requests for reception staff
  • A record of every item and charge, per member

Who pays, and how much?

Price to test
$59 a month per location

Each location has its own reception desk and post, so a flat monthly price per location fits how operators count their sites. Staff and members are not counted, so the price stays steady as the space fills.

How to test it in 7 days

  1. 1Ask five coworking managers how they handle post for virtual office clients today.
  2. 2Ask three virtual office clients what annoys them about getting their post.
  3. 3Track one space’s post in a shared sheet for a week and count the emails staff send.

Where to find the first customers

  • Coworking operator groups on Facebook and LinkedIn
  • Flexible workspace trade associations
  • Brokers and consultants who work with coworking operators

What are the risks?

  • Coworking management suites include basic mail features, so the angle is depth and price.
  • Address services face identity-check rules in some countries, so records must support them.

You are in a fresh copy of the shipanysaas starter kit, a pnpm and Turborepo monorepo: the Next.js web app is in apps/web and the Supabase database, with its migrations, in apps/web/supabase. Help me build the first version of Virtual office mail handling for coworking spaces.

Read AGENTS.md first, then the AGENTS.md in every folder you work in: the kit's rules there win over your defaults. When a skill in .agents/skills (also in .claude/skills and .cursor/skills) matches a task, use it.

## The product
- What it does: Coworking staff log each letter and parcel with a photo, and members choose what happens next: scan, forward, collect or shred.
- Who pays: Independent coworking spaces and business centres that sell virtual office plans
- Their problem: Post for virtual office clients piles up in trays at reception, and staff email each member by hand. Letters get missed, forwarding costs go unbilled, and nobody can prove when something arrived.
- Price to test: $59 a month per location (a plan in apps/web/config/billing.config.ts)

## Build only this first version
1. Log each item with a photo of the envelope
2. An email and in-app alert to the member
3. Members pick scan, forward, collect or shred
4. A task list of member requests for reception staff
5. A record of every item and charge, per member

## Already in the kit: reuse it, never rebuild it
- Sign-in: email and password or Google, plus magic links and passkeys you can switch on
- Teams and roles: team accounts with members, roles and invitations
- Billing: Stripe or Lemon Squeezy subscriptions, per seat or usage-based, and one-off payments
- Emails: transactional email through Resend or Nodemailer
- In-app notifications: a notifications bell in the web app

## New code it needs
- Mail log with envelope photos
- Member choices and reception task list
- Charges per member, exported for invoicing

## How to work
1. Plan first: list the database tables (with row-level security, so each team only sees its own rows), the pages and the server actions for the first feature. Then stop and wait for my OK.
2. Build one feature at a time with the kit's own UI and form components, with a migration for every schema change and user-facing text in the translation files.
3. After each feature, run the verification steps in AGENTS.md, fix what they find, and tell me what you built and what comes next.

## Rules
- Ask me before you add a dependency, delete a file, or change sign-in, billing or the admin panel.
- Leave the parts of the kit this product doesn't use as they are.

Done when every first-version feature works for a signed-in team and the AGENTS.md checks pass.
